What we do with what you tell us

The association keeps a public record, so part of what you give us is published on purpose. This page says which part, and what happens to the rest.

Written to be read rather than to be complied with. If a sentence here is unclear, tell us and we will change the wording instead of explaining it away.

What is published

Three things: the trading name of your business, the country you work in, and the date you signed the Code. Later, a link to your own annual restatement, if you give us one to link to.

Publishing those is the entire point of the association, so it is not something you can decline while staying on the roster. You can withdraw at any time, and the roster then records that you withdrew, with the date.

What we keep but never publish

Your own name, your email address, your role, the kind and size of the business, how long it has traded, its website, its registration number if you gave one, and anything you wrote in the last box on the form. None of it is sold, shared, or passed to anyone for marketing.

The registration number is optional, and we do not check it against any register. It is on the form because asking for it collects fewer invented businesses than not asking, and because it helps us tell two shops with the same name apart.

Why we may write to you

Because you asked us to, by clicking the link in the confirmation email. That click is the permission, and it is the only permission we rely on.

What we send: a reminder before your annual restatement falls due, notice before the Code is ever changed, and word of it once if The Bench opens. Nothing else. Every message can be stopped by replying and saying so, and replying is enough because a person reads them.

Who else it passes through

The site and the application store run on Cloudflare. Email is sent through Resend. Both are suppliers doing a job for us, not parties we share your details with, and both hold the data on our instructions only.

Cloudflare also records the country a request came from, which is how we know a form was submitted from somewhere. We do not use analytics, we set no advertising or tracking cookies, and there is no third-party script on any page of this site.

How long we hold it

An application that is never confirmed is deleted after seven days, automatically.

A confirmed signature is kept for as long as the record stands, including after a withdrawal: the point of a public record is that it survives being inconvenient, and a withdrawal that erased the original signature would defeat it. If you want the underlying contact details removed as well, say so and we will remove them and keep only the published three.

What you can ask for

A copy of everything we hold about you, a correction to any of it, deletion of the parts that are not the public record, and withdrawal from the roster. Ask by writing to info@sustainablejewellers.org. We will answer within thirty days and usually much sooner, because there are not many of us and there is not much data.

If you are in the United Kingdom or the European Union, you also have the right to complain to your national data protection authority. We would rather you told us first, but that route is yours whether we like the complaint or not.
